Withdrawals, Changes, and Refunds

Withdrawal

CCSA understands that from time to time, participants need to change their study abroad plans or may become ineligible due to various factors. If a participant withdraws for any reason, the following policy applies.

Deposit Not refundable. Exceptions made for students who are denied, in which case a $30 processing fee will be retained and the remainder refunded.
Late Application Fee Not refundable.
Withdrawal After First Payment Deadline Participant is liable for 25% of program fee; owed even if they did not complete first payment.
Withdrawal After Final Payment Deadline Participant is liable for 50% of program fee in addition to any nonrecoverable payments made on participant’s behalf; owed even if they did not complete final payment.
Withdrawal 14 or Fewer Days Before Program Start Date Participant is liable for 100% of program fee.

* The group flight ticket is 100% non-refundable once ticketed.
** The second course fee is 100% non-refundable after the first payment deadline.

After the first payment deadline, variable program options and changes requested by participants may incur fees. These may include, but are not limited to, the following:

Group Flight $50 fee + airline change fee; no changes after first payment deadline. The group flight ticket is 100% nonrefundable once ticketed. This usually happens between the first and final payment deadlines.
Additional Class Activities NA Calculated according to the schedule above.
Single Room Supplement $50 fee plus cost of the change; no changes after final payment deadline. Participant is liable for 100% after final payment deadline.
Optional Excursion Fee $50 fee plus cost of the change; no changes after final payment deadline. Participant is liable for 100% after final payment deadline.
  • Individuals with alternative payment arrangements, including financial aid, scholarships, and payment plans, are also held to the withdraw schedule.
  • Individuals whose participation is involuntarily canceled by CCSA due to the applicant’s failure to remain in good standing or complete required conditions for participation (such as holding a valid passport, meeting health requirements, meeting travel requirements, completing visa requirements, or other factors that prohibit participation) shall remain obligated to pay the balance determined by the for withdraw schedule above.
  • Applicants deferring participation to a future CCSA program may be able to apply a portion of their initial payment(s) to the future program.

Program Cancellation

CCCSA reserves the right to cancel a program due to war, political unrest, terrorism, natural disaster, low enrollment, unforeseen circumstances, CDC Guidelines, or a travel warning issued by the US State Department. If CCSA cancels a program due to circumstances beyond its control, CCSA will make every attempt to refund recoverable costs.

If CCSA cancels an individual course, the applicant will automatically be moved to their alternate course choice and sent a notification. If both the primary and alternate courses are canceled, and an applicant does not elect to participate in another course, the full amount paid to date will be refunded if the student confirms the withdrawal within five business days after the change. After this time, CCSA follows the withdraw schedule above, including refunding all of the deposit except the $30 processing fee.
